My submission was rejected – now what?
What rejection emails mean, common moderator reasons, and how to check your pin and photo before resubmitting.
Try not to worry
A rejection does not mean you did something wrong on purpose. Moderators review every submission against the map and the evidence you provided. We do not reject lightly, and many listings are approved on a second try once the location or photo is clearer.
Sometimes we miss context or make a mistake. If the moderator notes in your email do not match what you see on the ground, reply to the rejection email or contact us and we will take another look.
Common rejection reasons
Your email includes the moderator's reason and any extra comment. These are the reasons moderators choose most often:
- Unable to verify – often because the team could not find the postbox at the pinned location on the map or on Street View. This is the most common reason when there is no clear photo or the pin is slightly off.
- Incorrect location – the pin is too far from the real postbox, or points to the wrong place.
- Duplicate – the postbox is already on PostboxMap. Check the map and Search first; you can add photos or corrections to the existing listing instead.
- Poor quality image – the photo is too dark, blurry, distant, or does not clearly show a postbox. A closer, well-lit shot of the box (including the cypher if possible) helps a lot.
- Not a postbox – the submission is not a British-style postbox in scope for the map.
- Spam or inappropriate – content that breaks Community Guidelines.
- Other – the moderator will explain in the notes.
What to do next
Open My Submissions, find the rejected entry, and use Edit and resubmit (or the link in your email). Before you send it again:
- Check the pinned location – zoom in on the map and move the pin onto the postbox. Compare with satellite imagery or Street View where available.
- Add or replace the photo – take a clear picture at the box if you can. This is the fastest way to resolve an "unable to verify" rejection.
- Confirm reign and form – use the Identification Guide if you are unsure.
- Search for duplicates – if the box is already listed, suggest a correction or add a photo to the existing page instead of creating a new pin.
